Records in 1factory QMS capture and maintain objective evidence of quality activities by transforming controlled Record Type. Records are generated from controlled Form templates, each receiving a unique auto-incremented identifier (e.g., STS-1, STS-2, STS-3). Only authorized roles can create Records based on the configured permissions established when creating and releasing Record Type. For example, when a Quality Inspector documents a supplier audit, they access the "New Supplier Audit Form" and create a Record against it. The system ensures they use the latest approved version, captures required data, routes it through proper approval workflow, and maintains it as permanent quality evidence for ISO certification reviews.
