IMPORTANT ANNOUNCEMENT
We are excited to announce a major enhancement to User Roles in 1factory, released on Saturday, August 24, 2024.What's New?Historically, 1factory offered four basic roles: Read Only, User, Editor, and Admin. While straightforward, this approach had its limitations:
- Limited Role Separation: Roles were not divided by module (e.g., QC Module, Gage Module).
- Restricted Admin Controls: Admins couldn't define who could edit company-wide settings and lists, as these were tied to the Editor Role.
- Broad Access: Any User could manage and calibrate Gages.
- No Distinction Between IT and Functional Admins: IT and functional administrators were not separately defined.
To address these limitations, we have designed a new Permissions feature. This powerful new feature gives you granular control over user rights By Module. Here’s how it works:
First: Begin by Assigning Modules to Users
1factory is now organized into four modules, and set of common permissions.
- Quality Control (QC) - Plans, Inspections…

Quality Management System (QMS) - Procedures, Work Instructions, Forms, training, NCRs, CAPAs, SCARs …
- Gage Management - Transactions, Calibration & Manage Gages

Customer Portal - Manufacturing PPAPs, Customer Plans & Inspections.
- Common - Users (Master Data), Settings, List of Values
By default, any new user created within your organization will have access to all the modules assigned to your account. Each user’s access will be limited to only the tabs corresponding to the modules assigned to that user. Here’s the tabs you should expect to see by module:
- QC - Manufacturing, Receiving, Suppliers, Analytics (all except NCRs and CAPAs charts)
- QMS - QMS (Formerly NCR/CAPAs), Analytics (NCRs and CAPAs charts only)
- Gage Management - Gages
- Customer Portal - Customers
Only corresponding tabs will be shown to the user based on modules selected (for that user):
- QC - Manufacturing, Receiving, Suppliers, Analytics (all except NCRs and CAPAs charts)
- QMS - QMS (Formerly NCR/CAPAs), Analytics (NCRs and CAPAs charts only)
- Gage Management - Gages
- Customer Portal - Customers
The example below shows a user with access to ONLY the QC Module. This user does not have access to the Customer, QMS, or Gages tabs.
Next: Assign Permissions by ModuleBy default, all users have "Read-Only" access to the tiles, objects, and menus within the assigned modules.
We recommend that you start by determining whether a user needs access to the “Common” permissions:, specifically Manage Users, Manage Settings and List of Values.
Common Module Permissions:
- Manage Users: Create and update Users. Note: users cannot delete themselves to avoid lockouts i.e. this permission cannot be removed from oneself.
- IT Operations: Create, update, and delete IT Settings for SSO, API, Logout, Backup, and IP Address Restriction.
- Manage Settings and LoV: Create, update, and delete the organization’s Settings and List of Values tabs. Note: Only a subset of settings and List of Values will be visible corresponding to the modules assigned to the user.
- Manage Part Master: Create, update, and delete Part Master data.
QC Module Permissions:
- Manage Plans: Create, update, and delete Plans, PPAP Processes (under Master Data), SPC settings on a Chart-View page,Spec Libraries and PPAP Core Docs.
- Manage Suppliers: Create, update, and delete Suppliers on the Approved Vendor List (AVL).

Inspection User (matches the former "User" role):
- Create and update Inspections and FAIs
- Record measurements
- Accept/Reject inspections
- Create and update PPAPs
- Create and update SCARs
- Create and update Gage R&Rs
- Create and update Receipts

Manage Inspections (addresses the need for a “Manager” role:
- Delete Inspections and FAIs
- Review Inspections and FAIs
- Sign off on behalf of other users (applies only to accounts with e-signature enabled)
- Managing CMM Machines
Note: Permissions are not hierarchical. For example, a user with only the Manage Plans permission, but not the Inspection User permission, will be able to manage plans but won’t have the ability to create or edit inspections.QMS Module Permissions:
- QMS User: Create and edit Issues (NCRs, CAPAs, Complaints, PCAPA) and Tasks.
- Manage Issues (Addressees the need for "Manager Approval"): Close and delete Issues (NCRs, CAPAs, Complaints, PCAPA).
- Manage Docs: Create and revise QMS documentation (Procedures, Works Instructions & Forms).
- Manage Training: Create and view training records for the entire organization.
Gages Module Permissions:
- Gage User: Create transactions and manage Gage R&R.
- Manage Gages: Create, update, and delete Gages and Gage Kits
- Calibrate Gage: Create, update, and delete Calibrations.
Customer Portal Module Permissions:
- Portal User: Create, update, and delete PPAP's under the Customer tab > PPAPs
The Transition from Legacy Roles to New Permissions: To ensure a seamless transition to the new User Permissions, 1factory has mapped and migrated all existing roles to the corresponding new permissions.
Below is an illustration of how each Legacy Role corresponds to the new permissions.Read Only: Users with the Legacy Role of Read Only will be migrated with access to all available modules, but will retain read-only access within those modules.User: Users with the Legacy Role of User will be migrated with access to all available modules and will retain their previous permissions, such as creating new inspections and recording data. However, they will not have permissions to modify aspects like Manufacturing or Receiving Plans
Editor: Users with the Legacy Role of Editor will be migrated with access to all available modules and will retain the same permissions they previously had, such as the ability to create and edit plans. However, they will not have access to features like the User List.
Admin: Users with the Legacy Role of Admin will be migrated with access to all available modules and will retain all their previous permissions, including access to the User List.To see the new permissions, navigate to the User List (under Master Data) and click on the Permissions sub-list. Here, you'll find all current user permissions, along with their Legacy Role displayed next to the user’s Status.
