New Feature: Inactive List of Values Entries
Simplify your dropdown menus while preserving historical data integrity
What's New
1factory now supports marking List of Values (LOV) entries as inactive, providing a more flexible approach to managing dropdown selections while preserving historical data integrity.
The Challenge
Previously, LOV entries could not be removed once they had been used in the system without deleting all associated records. This created cluttered dropdown menus filled with outdated options that were no longer relevant to current operations, making it difficult for users to find and select the correct values.
The Solution
The new Inactive LOV Entries feature allows quality administrators to mark any LOV entry as inactive directly from the List of Values management page. Inactive entries:
- Disappear from dropdown selections when creating new records
- Remain visible in existing records with an "(Inactive)" label
- Can be reactivated at any time if needed
- Maintain complete audit trails for regulatory compliance
How It Works
A new Active? column appears in the List of Values management interface. Simply uncheck the box next to any entry you want to phase out. The change takes effect immediately across all modules - Manufacturing Plans, Receiving Plans, NCRs, CAPAs, SCARs, Complaints, Inspections, and all other areas using LOVs.
The new "Active?" column in the Manage List of Values interface - simply uncheck any entry to mark it as inactive
Real-World Applications
Common scenarios where organizations mark LOV entries as inactive:
Inspection Types: Phase out discontinued inspection types (e.g., "First Article," "Pre-Production," "Monitoring") that are no longer used in your current quality workflows while preserving historical inspection records.
Gage Types: Mark old gage classifications (e.g., "Pin Gage," "Snap Gage," "Radius Gage") as inactive when standardizing your measurement system while maintaining calibration history and traceability.
Key Benefits
Improved Usability
Dropdown menus show only current, relevant options, reducing selection errors and improving data entry speed.
Operational Flexibility
Adapt to organizational changes, facility consolidations, process improvements, and evolving quality requirements without data loss.
Reversible Changes
Reactivate entries at any time if operational needs change or if historical analysis requires creating records with legacy values.
Getting Started
Navigate to Master Data > List of Values, select any LOV group and list, and use the Active? column to mark entries as inactive. Changes apply immediately throughout the system.
